S-Lab Privacy Policy and GDPR Update

At S-Lab, we're committed to protecting and respecting your privacy. We only collect two kinds of information about you - email addresses in the distribution database for this newsletter, and any details entered onto the Eventbrite site when booking for one of our events. We don't pass any of this data onto any third parties for marketing purposes, nor do we acquire any personal information from them. And we don't collect any usage data on our web site. (NB We do provide information to, and allow access by, one third party, which is the events management company of  Helen Exton, our part-time Conference manager. See below for more information.)

We only use our email distribution list to send our newsletter 9-10 times a year. Its main purpose is announcements and information of interest to the different audiences involved in designing and using university and research institute laboratories. As we contact people infrequently, and almost all people on our list have asked to be on it by direct subscription, or by requesting further information as part of event booking, we feel that we meet the 'legitimate interest' requirements of the GDPR regulations and so do not need to ask people to resubscribe to our newsletter.

About Us

S-Lab is a not-for-profit initiative to support good practice in laboratory and operation, especially in universities. It was first set up, and ran for many years, with funding from HEFCE and other sector bodies. It is self-financing through income from Conferences and events. Its legal 'home' is now Gambica, a representative body for the laboratory technology and other industries in the UK. In practice, Gambica has no operational involvement in S-Lab, and no access to any personal data that we hold.

Storing emails in our Jiscmail database

Our email database is held within Jiscmail software and is therefore also subject to its Privacy Policy, which can be found here.

Booking Data for Our Events on the Eventbrite Site

The personal information we collect and store on Eventbrite might include your name, work address, work email address, and work telephone number. If you purchase an event ticket from us (via Eventbrite), your card information is not held by us, it is collected by third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions. All data held by Eventbrite is subject to its Privacy Policy which can be found here.

Before events, we only use personal data on Eventbrite to prepare delegate lists containing names, job titles and organisational affiliations, to check catering and session preferences, and occasionally to contact individuals about specific matters of interest. Afterwards, we keep it primarily for archival purposes, e.g. tax accounting for up to six years, and only refer to it actively to find email addresses for occasional 1:1 correspondence about matters arising from the event e.g. interest in making presentations at future events.  

Third Party Service Providers Working on Our Behalf

We only provide information to, or allow access by, one such provider which is Helen Exton, our Conference Manager working through her event management company, Green Moon. See its Privacy Policy here. Helen is not authorised to pass on any of the S-Lab data she uses to other parties and confirms that she has never done so in the past.
